These Terms & Conditions outline the practical details around your booking, payments, cancellations and participation. Please take a moment to read them before confirming your place. By paying your deposit, you confirm that you have read and agreed to these terms.
1. Booking & Payment
Your place on the retreat is confirmed once your deposit has been received.
The deposit is non-refundable and non-transferable.
Any remaining balance must be paid by the date stated at the time of booking. We will always do our best to remind you when your payment is due.
If your balance has not been received by the payment deadline, we may need to release your place to someone else. In this situation, your deposit will remain non-refundable.
Any bank charges, international transfer fees, card fees or currency exchange costs are the responsibility of the participant. We must receive the full amount stated on your invoice.
Your booking is personal to you and cannot be transferred to another person without our prior written agreement.
2. If You Need to Cancel
We completely understand that plans and circumstances can change. If you need to cancel your place, please let us know as soon as possible by emailing alicegray.yoga@gmail.com and faith.mcallister@gmail.com. The date we receive your written cancellation will determine which cancellation terms apply.
More than 3 months before the retreat
If you cancel more than three months before the retreat start date, we will refund the payments you have made, minus:
your non-refundable deposit; and
a 20% administration fee calculated on the remaining refundable amount.
Within 3 months of the retreat
If you cancel within three months of the retreat start date, we are unfortunately unable to offer a refund unless your place can be successfully filled by someone from our waiting list.
If your place is successfully filled by another participant from the waiting list, we will offer a partial refund of the amount you have paid, minus:
your non-refundable deposit; and
a 20% administration fee calculated on the remaining refundable amount.
The replacement participant must have confirmed their place and paid in full before any refund can be processed. If your place cannot be filled from the waiting list, no refund will be due. While we will always do our best to fill a cancelled place where possible, we cannot guarantee that a place will become available or that a replacement participant will be found.
If you leave the retreat early
Once the retreat has started, we are unable to offer refunds for any unused portion of the retreat. This applies regardless of the reason for leaving, including illness, injury, personal circumstances, changes to travel plans or any other reason.
3. Transferring Your Place
Your retreat place is personal to you and cannot be sold, gifted or transferred without our prior written agreement. If you are unable to attend and have someone who would like to take your place, please contact us before making any arrangements. We may be able to accommodate a transfer, but this is not guaranteed. Any replacement participant must meet the retreat's booking requirements and pay any outstanding balance before the transfer can be confirmed.
4. Travel & Getting to the Retreat
The retreat price includes only the elements specifically outlined in the retreat information. You are responsible for arranging and paying for your own travel to and from the retreat, including flights, trains, and any additional accommodation before or after the retreat, unless specifically stated otherwise.
You are also responsible for ensuring that you have the appropriate passport, visa, travel documents and any other requirements needed to travel to India. Please allow plenty of time when making your travel arrangements and, where possible, choose flexible or appropriately insured travel options.
We cannot offer refunds or reimbursements for missed or cancelled flights, trains or other transport, travel delays, visa issues, lost connections or other circumstances that prevent you from reaching the retreat.
5. Travel Insurance
We strongly recommend that you take out comprehensive travel insurance as soon as you book the retreat. Your insurance should ideally cover cancellation, curtailment, medical expenses, travel disruption, lost luggage and other circumstances that could affect your ability to attend.
Travel insurance is important because we are unable to cover costs relating to flights, accommodation, transport or other personal expenses if you are unable to attend.
6. Changes to the Retreat
We put a lot of thought and care into creating the retreat programme and will always aim to deliver it as advertised. Unlikely circumstances may mean that we need to make changes to the schedule, activities, teachers, accommodation arrangements or other elements of the programme. If this happens, we will always communicate any significant changes with you as soon as reasonably possible and will do our best to provide a suitable alternative. Small or reasonable changes to the programme, timings or activities do not constitute grounds for a refund.
7. If We Are Unable to Provide the Retreat
We very much hope that the retreat will go ahead as planned. However, there may be circumstances outside of our reasonable control that mean we are unable to provide the retreat.
These may include, but are not limited to:
Political instability or unrest
War or threat of war
Terrorism or threat of terrorism
Natural disasters
Extreme weather or environmental events
Pandemics or epidemics
Government restrictions or changes to travel requirements
Changes to visa or entry requirements
Any other event or circumstance beyond our reasonable control that means we are unable to safely or reasonably provide the retreat as planned
If circumstances outside of our control mean that we are unable to provide the retreat, we will let you know as soon as reasonably possible and will do our best to explore whether the retreat can be postponed or rearranged. However, where the retreat cannot take place due to circumstances outside of our control, we will not be able to offer refunds for amounts already paid. This is because we will have committed significant non-refundable costs to the venue, accommodation, staff, teachers and other elements of the retreat in advance, and we are unable to absorb losses arising from circumstances outside of our control. Any alternative arrangements, including a postponed retreat or transfer to a future retreat, will be communicated on a case-by-case basis and are not guaranteed.
We will not be responsible for any additional costs or losses you may have incurred in connection with the retreat, including flights, accommodation, transfers, visas, insurance, currency exchange losses or other travel expenses.
For this reason, comprehensive travel insurance is strongly recommended and should be arranged at the time of booking.
8. Circumstances Outside Our Control
If in the unlikely external event we need to significantly change, postpone or cancel the retreat, we will always act in good faith and do everything reasonably possible to minimise the impact on our participants. However, where the retreat cannot be provided because of circumstances outside our reasonable control, the refund position outlined in Section 7 will apply. If the retreat is able to go ahead but you are unable to attend because of circumstances affecting you personally, the cancellation terms in Section 2 will apply.
9. Your Health & Wellbeing
Your wellbeing is extremely important to us. You are responsible for deciding whether you are physically and medically able to take part in the retreat and its activities. Before attending, please let us know about any medical condition, injury, pregnancy, physical limitation, allergy or dietary requirement that may be relevant to your participation.
The yoga, movement, breathwork, meditation and other practices offered during the retreat are educational and experiential. They are not intended to replace medical advice, diagnosis or treatment. You are always encouraged to listen to your body, take rest when needed and choose the level of participation that feels appropriate for you. If you are unsure whether the retreat or any of its activities are suitable for you, we recommend speaking with an appropriately qualified healthcare professional before attending.
10. Accommodation
Your accommodation will be provided as outlined in the retreat information.
We will always do our best to accommodate reasonable room or accommodation requests, but we cannot guarantee a particular room, bed, view or location unless this has been specifically confirmed with you in writing. As the retreat venue is an independent third-party provider, there may occasionally be things outside our control, such as maintenance issues, weather, or power interruptions.
11. Your Belongings
Please take care of your personal belongings during the retreat. We cannot accept responsibility for lost, stolen or damaged belongings, including luggage, valuables, money, passports, phones or other personal items.
12. Creating a Respectful Retreat Environment
We want the retreat to feel like a safe, welcoming and respectful space for everyone. We ask that all participants treat each other, the teachers, retreat team, venue staff and local community with kindness and respect.
13. Photography & Filming
There may be photography and filming during the retreat for personal memories and, occasionally, for future retreat or promotional content. We will always endeavour to be respectful of people's privacy.
If you would prefer not to appear in promotional photographs or videos, please let us know before the retreat begins and we will accommodate this. We also ask that participants are mindful of photographing or filming other people and always respect their privacy and consent.
14. Taking Responsibility for Your Own Practice
Yoga, movement, and breath work practices involve physical participation and, as with any physical activity, there is an inherent possibility of injury. You are responsible for making choices that are appropriate for your own body and circumstances. Please communicate with the retreat teachers if you need an alternative, modification or additional support during a practice. By attending the retreat, you acknowledge that you are responsible for participating within your own limits.

16. Your Agreement
